10 Tips for Residential Managers in Working with HOA's
  1. Understand that management companies are an agent of the HOA and are accustomed to only working with the legal owners or authorized representatives of the property.
  2. Always have the owner sign an Authorization to Represent form and submit it to the management company with a copy of the Management Agreement, if required, so that the management company will discuss the property status with you.

  3. Submit a Change of Address with your authorization so that you receive correspondence regarding any violations on the property.

  4. If you are responsible to pay the HOA assessments on behalf of the owner, ensure that the Billing Address is also changed. Please note: we strongly recommend against the tenant paying assessments directly to the HOA, due to strong collection policies and costs, which the owner is responsible for.

  5. Familiarize yourself with the enforcement and collections policies of the HOA and the time lines therein, to avoid responsibility for charges incurredfor late payments or fines.

  6. Ensure that you give a copy of the Association’s Rules & Regulations or governing documents to the tenant(s) at move-in; and have them sign an acknowledgment receipt.

  7. Include a clause in the rental agreement that the tenant is responsible for the rules and property standards of the HOA and resulting fines, if any.

  8. Always respond to property violations in a timely manner to avoid the potential for fines assessed on the property.

  9. Identify yourself as the owners managing agent when contacting the management company.

  10. Make a policy of submitting all correspondences to the HOA in writing.
